Kahin Center Event Policies

Price Policy:

  • There will be no charge for SEAP events.
  • There will be no rent charged for Southeast Asian student organization events, only for student assistants, when required.
  • Einaudi programs and other Cornell entities will be charged according to the price scale below.

Price Scale:

For Einaudi program events requiring student assistants:

  • $100/day rent
  • $15/hour for each student assistant required

For Einaudi program events not requiring student assistants:

  • $100/day rent

For events by other Cornell entities requiring student assistants:

  • $250/day rent
  • $15/hour for each student assistant required

For events by other Cornell entities not requiring student assistants:

  • $250/day rent

Prices may be adjusted to meet the occasion, i.e. higher for high risk functions (reunion receptions, etc.) and lower for small groups. Payment to student assistants will be based on actual number of hours worked @ $15/hour. Charges for damage to the facilities will be assessed, based on the extent of damage.

 

Responsibilities for Events Requiring Student Assistants

 

Contact Person’s Responsibilities:

  1. Arrange a time to meet with the Kahin Center Managing Building Coordinator by email at: kahinbuildingmngr@einaudi.cornell.edu in order to borrow the key and discuss arrangements and policies.
  2. Give clear instructions to the student assistant(s) (name(s) and contact information to be supplied) regarding set-up and A/V requirements, before and during the event.
  3. Be present throughout the event to ensure that participants follow Kahin Center policies, and to be available to answer questions by the student assistant(s).
  4. Return the key to the Managing Building Coordinator’s mailbox within three weekdays, or leave key with the student assistant(s).
  5. Arrange for payment of the rental fee (if applicable) and student assistant fees.
  6. WE STRONGLY ENCOURAGE THE USE OF COMPOSTABLE PLATES, CUPS, AND UTENSILS. COMPOSTABLE TRASH BAGS AND RECEPTACLE PROVIDED. RECYCLING IS REQUIRED.

 

Student Assistant(s)’s Responsibilities:

  1. Set up chairs, tables and A/V equipment according to the description or drawing submitted by the contact person.
  2. Operate the A/V equipment during the event.
  3. Be available to answer questions and carry out the directions of the contact person.
  4. Store chairs, tables and A/V equipment after the event.
  5. Clean up after the event—dispose of leftover food and paperware in COMPOST, trash in the dumpster, rinse recyclables, wipe surfaces of tables, wipe plastic table cloths (if used), vacuum floors as needed, clean the kitchen and wash utensils, etc.

 

Responsibilities for Events Not Requiring Student Assistants

Contact Person’s Responsibilities:

  1. Arrange a time to meet with the Managing Building Coordinator by email at: kahinbuildingmngr@einaudi.cornell.edu in order to borrow the key and discuss arrangements and policies.
  2. When you arrive, unlock the front door (latch and deadbolt).
  3. Be present throughout the event to ensure that participants follow Kahin Center policies. Be sure to clean up, rinse recyclables, and take out trash and COMPOST if serving food.
  4. Return the key to the Managing Building Coordinator’s mailbox within three weekdays.
  5. Arrange for payment of the rental fee (if applicable).

 

Tables & Chairs:

  • Chairs are stored in the hall to the East of the large meeting room.
  • Folding tables are stored in the coat room off the front entryway.
  • Please wipe them down and return them when you are finished.

 

Supplies:

  • Three tall, beige plastic garbage pails are located outside the pantry.
  • Inside are plastic liners for the pails. Green liners are for compostables only.

 

Clean-Up:

  • Leave the rooms that you use, including the kitchen, clean and tidy.  If the floors and carpets need vacuuming, there is a vacuum cleaner in the custodian’s closet.
  • Remove all trash to the dumpster in the parking area outside the northeast end of the building. COMPOST SHOULD BE PLACED IN THE BLUE CAYAUGA COMPOST RECEPTACLE NEAR THE DUMPSTER.

 

Security:

  • Double check to make sure the porch and front doors are closed and locked and that any windows that were opened are shut and locked.
  • The latch on the edge of the front door must be locked, and the deadbolt must be locked from the outside with the “OD” key.
